Privacy Policy

All Moms (“All Moms,” “we,” or “us”) is a nonprofit that runs a membership, events, and volunteer programs. This policy explains what we collect, why we collect it, who else sees it, and how to get it deleted. It covers our website and member portal.

We do not sell your information, and we do not share it with advertisers.

What We Collect

Your account. Your name, email address, and password when you register. If you sign in with Google or Facebook instead, we receive your name and email address from them, never your password.

Your profile. Phone number, mailing address, and a photo, if you choose to add them. Members are not required to fill these in.

Your children.If you add them for childcare at our events, we store each child’s name, birthdate, and any allergies you tell us about. Allergy information is health information about a minor and we treat it that way — see Children’s Information below.

Membership and payments.Your membership status and history, and a record of each payment: the amount, the date, and what it was for. Card details are handled entirely by Stripe and never reach our systems — we store only Stripe’s reference numbers so we can look a payment up.

Participation. Event RSVPs and check-ins, volunteer interests and sign-ups, committee membership, posts you write in member groups, and reimbursement claims including any receipt images you upload.

Email. Whether you have asked to receive our announcements, and a record of messages we sent you so we can tell whether something was delivered.

Technical information. Ordinary web-server information such as browser and device type and IP address. We do not use advertising or tracking cookies.

How We Use It

  • Running your membership, and taking payment for it
  • Organising events, RSVPs, and childcare
  • Matching volunteers to the work that needs doing
  • Sending you the announcements and notices you have asked for
  • Keeping the accounts a nonprofit is required to keep

What Other Members Can See

Members can look each other up in a member directory. You control what appears there. Your address, email, phone number, and children are each shown only if you switch that on in your profile settings; your name is always shown. You can change any of these at any time, and a change takes effect immediately.

Who Else Sees It

We use outside services to run the organisation. Each one receives only what it needs, and none of them may use it for anything else:

  • Clerk — accounts, sign-in, and passwords
  • Supabase and Vercel — the database and the website itself
  • Stripe — payments. Stripe holds your card details; we do not
  • Resend — delivering our email
  • Google — our calendar, shared documents, and the announcements mailing list
  • Printify — printing and shipping merchandise, which means your shipping address if you order something
  • Intuit QuickBooks — our bookkeeping

We may also disclose information if the law requires it. Otherwise we share nothing outside the list above.

Children’s Information

We collect information about children only from a parent or guardian, only for childcare at our events, and only the minimum needed to keep a child safe: name, birthdate, and allergies. Children do not have accounts and cannot sign in.

Allergy information is visible to the organisers running childcare at an event, and to administrators. It is shown in the member directory only if you have switched that on. You can edit or remove any child from your profile at any time, and removing a child deletes their record.

Deleting Your Account and Data

You can delete your account yourself. Sign in, go to your profile settings, and use Delete account. This removes your profile, your children’s records, your volunteer sign-ups, your event RSVPs, and your posts.

If you signed in with Google or Facebook and cannot get back into your account, or you would rather we did it for you, email info@allmoms.org from the address you registered with and ask us to delete your account. We will confirm when it is done.

What we keep, and why.We must retain a record of donations and membership payments — amounts, dates, and the name they were made under — because a nonprofit is required to keep its financial records and its donors’ receipts. That record stays after your account is gone. Everything else is removed.

How Long We Keep Things

Account and profile information is kept while you have an account. Financial records are kept as long as the law requires. Email delivery records are kept for a limited period so we can investigate a message that did not arrive. Anything else is kept only as long as it is needed for the purpose it was collected for.

Security

Access to member information is restricted by role — most of what is described here can only be read by the member it belongs to and by administrators, and that is enforced by the database rather than by the website alone. Receipts and uploaded documents are stored privately and served through short-lived links. No system is perfectly secure, and we cannot promise it is.

Your Choices

You can edit or remove most of your information from your profile settings, change what the member directory shows, unsubscribe from announcements using the link at the bottom of any email, or delete your account entirely. Depending on where you live you may have further rights over your information; write to us and we will help.

If this policy changes we will update the date at the top of this page. Our Terms of Service cover the rest of your relationship with us.
